CalCommuter is an intelligent staff travel survey platform that generates Personal Travel Plans for every employee and provides commute specific Scope 3 insights for employers.

The survey is designed to take around 2 minutes per employee. The median time to complete is 1 minute and 50 seconds.

Each employee receives a Personal Travel Plan comparing the cost, time, and emissions of their current commute with any viable commute alternatives.

You receive organisation wide commute insights, including current commuting patterns, viable alternatives available to each staff members, scope 3 commuting and home working emissions data, and analytics to support targeted travel strategies.

Emissions are calculated using UK Government conversion factors with routing data for each commute option found by the platform.

Costs include fuel, depreciation/finance costs, servicing, insurance, parking (where applicable), and other running costs to give employees a realistic comparison - not just fuel cost.

Only where viable. If an employee has no realistic alternative to their current commute, the platform makes that clear.

Most organisations are set up within 5 working days, depending on the number of worksites.

To set up your organisation, we’ll ask you to complete a short onboarding form. You’ll provide:

• Your logo (for your co-branded survey and results emails)

• Privacy-policy wording for your “Who we are” statement

• Admin user details (name and email for up to two included admin accounts)

• Designated email contacts for data protection and survey-related queries

• Worksite information for each site:
  

  • Worksite name and postcode

  • Number of staff

  • Parking costs

• Your chosen viability settings, including:
  

  • Walking cutoff minutes

  • Cycling cutoff minutes

  • Public transport legs

  • Max public transport time/cost multiples

• Links to your organisation’s travel resources (car, public transport, cycling, walking)

Yes. CalCommuter is UK GDPR compliant, uses EU servers, supports DPIAs, and applies strict data minimisation and retention practices.

Data is encrypted in transit and at rest. Personally identifiable information is minimised and deleted after the retention period you specify.

Yes. You can export anonymised commute datasets, charts, and summaries for analysis or reporting.

Yes. CalCommuter provides commuting and home-working Scope 3 emissions that meet external body reporting expectations and are calculated using the latest UK Government Green House Gas (GHG) conversion factors.

CalCommuter calculates employee commuting emissions using a transparent, repeatable methodology based on:

• Employee reported commute data (home postcode, worksite, mode, working pattern)

• Routing engines to calculate realistic commute distances for each mode

• The latest Greenhouse Gas Reporting: Conversion Factors from the UK Department for Energy Security and Net Zero

• Vehicle specific emissions, where staff provide a registration number

• A standardised 46.4 week working year

• Straight line upscaling to estimate organisation wide emissions from the survey response rate
  

This produces clear reporting tables, including:

• Reported monthly commuting emissions

• Upscaled emissions for your full workforce

• Annualised commute and home-working emissions (Scope 3 Category 7)

• Response rate and methodology notes for audit confidence

How the calculations work (summary)

• Weekly commute distances are calculated for each respondent using appropriate routing services.

• Emissions are calculated using the per mile conversion factors for the relevant travel mode.

• Where vehicle registration data is provided, vehicle specific emissions per mile are used (adjusted for real world conditios).

• Results are annualised using 46.4 working weeks.

• If the organisation’s response rate is below 100%, emissions are upscaled proportionally to estimate the total workforce footprint.
